Digitizing member administration: a practical step-by-step plan

Step 1: Take stock of what you have

Start with an inventory. What data do you hold about your members? Name, address, email, date of birth, membership type, payment status, and in which files is that information spread? It often becomes clear that the information is stored in multiple places and nowhere is complete.

Create a single overview list (an Excel spreadsheet is fine as a stepping stone) of all active members with the most essential data. This will be your starting point for the migration.

Step 2: Determine which data you really need

The temptation is strong to store everything. But the AVG requires that you only keep data that you actually need for a well-defined purpose. Do you really need the date of birth for each member? Do you need a phone number in addition to an email address?

Less data is also easier to manage. Keep it clear.

Step 3: Import your existing data

Most modern systems accept a CSV import. Export your current member list, check the columns and import. Pay attention to fields such as membership number, date joined and membership type. Take a moment to clean the data first, remove duplicate entries, typos in email addresses, so you start with a clean slate.

Step 4: Communicate the change to your members

Inform your members about the transition. Explain why you are digitising (easier, safer, faster) and what changes for them. Give them the opportunity to review and update their own data. That improves data quality and builds trust.

Step 5: Create an online registration form

Once your system is in place, ensure that new members can sign up online. A public registration form on your website ensures that data goes directly into the system, no manual data entry required.

A single member number per member makes it easier to identify members for payments, correspondence and sport federations. Good software automatically assigns the next member number with each new enrolment, possibly with a prefix such as "2025-" or "SV-".
