Connect Google Calendar to your association's planning

Why Google Calendar for your association?

Google Calendar is free, works on all devices and everyone knows it. By synchronising your bookings and events automatically with Google Calendar, board members, administrators and volunteers can see at a glance what is scheduled when, without having to log in to a separate system.

How does the synchronisation work?

Modern association management software offers an OAuth2 integration with Google Calendar. After the initial setup (sign in with your Google account and grant the permissions) new bookings and events are automatically added as appointments to a designated Google Calendar.

Bookings are anonymous added to the calendar: you see the time slots and the type of booking, but no personal data of the renter. On cancellation the appointment is automatically removed.

One calendar, multiple users

You can create a shared Google Calendar and share it with all board members. This means everyone has access to the same up-to-date schedule, without anyone having to type anything manually.

Benefits at a glance

What data is synchronised?

The following data are synchronised:

Display the calendar on your website

In addition to the internal synchronisation, Verenigingsplanner also offers the ability to display the availability calendar directly on your own website. Visitors can see at a glance which time slots are free or occupied, without you having to update the calendar manually. This works via a simple widget that you can place on any website or WordPress site.

Privacy considerations

Because reservations are synchronised anonymously, you do not need to worry about sharing personal data via Google Calendar. The calendar only shows when a space is occupied, not by whom.

Set up in five steps

  1. Go to the settings of your association management software
  2. Find the section "Google Calendar integration"
  3. Click "Connect" and log in with the Google account you want to use
  4. Grant the requested permissions
  5. Select the calendar on which bookings should be synchronised
